If your organisation has recently purchased a licence, or if your organisation is an existing licenceholder and you’re new to a role that involves licence administration, there are a few simple points to check to make sure that you’re up to speed.

First, check whether staff have received suitable guidance to support their use of the licence. CLNZ offers various resources that may be helpful here: visit the resources webpage to learn more or contact us if you have other needs. At a minimum we recommend that the licence poster should be placed beside each photocopier/scanner that is used by staff and prominently on your Intranet, but in education providers take care to avoid confusion by placing it at copiers used by students—the licence does not apply to copying of copyrighted material by students.

Second, check on whether there is a procedure or system to monitor copyright compliance, and make sure that staff know who they can talk to if they have questions about the licence.

Finally, we strongly recommend that all licenceholders carry out regular staff professional development on copyright and the licence. The CLNZ licence makes this significantly easier than it would otherwise be by providing blanket permission to use a wide range of material. As well as educating about the licence, this is also a great way to minimise the risk of non-compliance with intellectual property law.
